File Sharing: How It Works

File sharing has been around for a while now. It has graduated from its prior forms of floppy disks, to CD’s and thumb drives, and peer-to peer networks. These methods left information open to be breached easily. Now the file sharing concept with businesses is remarkably secure. The idea behind file sharing is to allow the sharing of data securely, conveniently, and instantaneously. Users have access to files 24/7. There are a lot of requirements that go into file sharing that a general user would be unaware of but here is a brief overview of how it works.

Data is Uploaded

One convenience of file sharing is you don’t have to worry if it will “fit” onto your delivery medium. Recently email has been a primary concern as anything over 2GB results in an overload and the file may not send. You can give folder access or send files individually. When you save data to your folder users can access the files at any time instantly. To send files you will use an Outlook Plug-in. Data is Encrypted

Encryption is very important especially when gaining access to files online. Some organizations have used FTP for large files. Many organizations have FTP access disabled though. This is especially a good idea if the person will be allowed to open it via mobile applications. The receiver will be able to view the document even if they do not have the software on their system.

So as you can see file sharing is an efficient process. It’s simple and does not require much training. If a user can upload a document then learning how to use their file sharing system will not be difficult at all.
